How to Organize Documents with Tags—and Find Them Again

Use a consistent filename for what a document is, and a few tags for the contexts in which you will need it. Start with a small vocabulary you can remember rather than a new label for every file.

Tags and folders answer different questions

A folder gives a file a location. A tag gives it a label that can be useful across contexts: website-brief-v2.pdf could be labeled Website, Brief and To review without making three copies.

Keep folders when you need a clear project structure on your computer. Use tags when one shared attachment belongs in several useful groups. BrezLink organizes attachments from its own conversations; it is not a Finder replacement, a whole-computer file manager or a backup service.

Copy a small starter system

Choose one project label, a document-type label and—only when useful—a personal status label. The template below is plain text you can copy and adapt. Create these labels manually in Documents; copying the template does not import or create tags.

“Archived” is just an example label. It does not move, protect, retain or delete a file. “To review” does not assign a reviewer, trigger a notification or approve anything.

Make filenames useful before sharing

Use project-purpose-version.ext: website-brief-v2.pdf is easier to recognize than final-final.pdf. Rename your original file before sending it if needed; this guide does not promise an in-app attachment-renaming feature.

Avoid sensitive personal details in filenames. Choose Website rather than a client’s phone number as a project label. Review the vocabulary occasionally: merging your own habits is simpler than remembering whether you used Quote, Quotes or Estimate for the same thing.

Apply labels in BrezLink Documents

  1. Sign in and open Documents. It lists eligible BrezLink attachments available to your account, subject to access and plan rules.
  2. Choose Manage tags, then Create tag to make a label. For a file, use Add tags or Edit tags, select the labels you want attached, then Save tags.
  3. Use Search files for a filename fragment or tag text. Search is case-insensitive and can also match supported conversation labels.
  4. Choose All, Sent, Received or one custom tag. You can attach several tags to a file, but the current filter selects one option at a time. There is no multi-tag AND/OR filter.
  5. Combine the search box with that one filter. Selecting a custom tag replaces Sent or Received; it does not add another filter beside it.

Try a small, reversible habit

For a short website job, label the brief Website + Brief + To review. Label a reference presentation Website + Presentation + Reference. When you need the brief again, select Website and search brief. That is one tag plus text—not two selected tags.

The fictional example below lets you try that behavior. No files are uploaded, no account is needed and the search text stays in this page’s memory. Results are sample metadata, not downloadable documents.

Try organizing these sample documents

Demo: fictional files. Search sample filenames, tags or conversation labels. Choose one filter at a time. No uploads, downloads, accounts or API calls.
